Managing Meetings
The Meetings section gives you a clear view of all your scheduled, completed, and cancelled meetings. You can manage upcoming meetings, review past ones, and keep track of outcomes.
Upcoming Meetings List
Navigate to Meetings in the left sidebar to see your meetings. The default view shows upcoming meetings in chronological order (soonest first).
For each meeting, you will see:
| Field | What It Shows |
|---|---|
| Title | The meeting type (from the booking link title) |
| Attendee | Who booked the meeting (name and email) |
| Date & Time | When the meeting is scheduled |
| Duration | How long the meeting is expected to last |
| Status | Current status of the meeting |
| Meeting Link | Link to join the meeting (if applicable) |
Meeting Statuses
Every meeting has a status that reflects where it stands:
| Status | Meaning |
|---|---|
| Scheduled | The meeting is confirmed and upcoming. Both parties have been notified. |
| Completed | The meeting took place as scheduled. |
| Cancelled | The meeting was cancelled before it occurred. |
| No Show | The attendee did not show up for the scheduled meeting. |
Meeting Details
Click on any meeting to view its full details:
- Attendee information -- Name, email, and phone number (if provided)
- Scheduled time -- Date, time, and timezone
- Duration -- Expected length of the meeting
- Booking source -- Whether it was booked via a booking link or created manually
- Notes -- Any notes added before or after the meeting
- Calendar event -- A link to the event on your connected calendar
Cancellation
If you need to cancel an upcoming meeting:
- Open the meeting details.
- Click Cancel Meeting.
- Confirm the cancellation.
When a meeting is cancelled:
- The meeting status changes to Cancelled
- The attendee receives a cancellation notification email
- The calendar event is removed from your connected calendar
If a cancellation link was included in the confirmation email, the attendee can cancel the meeting themselves. You will be notified when this happens.
Post-Meeting Actions
After a meeting is completed, you can:
Add Outcome Notes
Record key takeaways, next steps, and follow-up actions from the meeting. Click into the meeting detail and use the Notes field to capture this information.
Update Meeting Status
If a meeting did not happen as planned (e.g., the attendee did not show), update the status to No Show for accurate tracking.
Review Meeting History
Use the meeting history to track your conversion funnel:
- How many meetings were booked?
- How many were completed vs. cancelled or no-show?
- What patterns do you see in successful meetings?
Adding notes immediately after a meeting -- even brief ones -- ensures nothing is lost. These notes become part of the contact's history and help inform future outreach.
Filtering Meetings
You can filter your meetings list by:
- Status -- Show only scheduled, completed, cancelled, or no-show meetings
- Date range -- Focus on a specific time period
- Attendee -- Search for meetings with a specific person
