Close CRM Integration
Client Portal integrates with Close CRM to automatically create leads when meetings are booked through the platform. This keeps your CRM in sync with your scheduling activity without any manual data entry.
What the Close CRM Integration Does
When a meeting is successfully booked through one of your Client Portal booking links, the integration automatically:
- Creates a new lead in Close with the attendee's information
- Populates lead details including name, email, phone, and the context of the meeting
- Links the booking so you can trace the lead back to the Client Portal meeting
This means that every meeting booked through Client Portal immediately appears in your Close CRM pipeline, ready for your team to follow up on.
How to Set Up the Integration
The Close CRM integration is configured by your account manager as part of your workspace setup. If you would like to enable it:
- Contact your account manager and let them know you use Close CRM.
- Provide your Close API key (found in Close under Settings > API Keys).
- Your account manager will configure the integration for your workspace.
- Once enabled, new meeting bookings will automatically create Close leads.
The Close CRM integration involves API key configuration on the server side. Your account manager manages this setup to ensure it is configured correctly and securely.
What Data Syncs to Close
When a meeting is booked and a lead is created in Close, the following data is included:
| Close Field | Source |
|---|---|
| Lead Name | The attendee's name from the booking form |
| Contact Email | The attendee's email address |
| Contact Phone | The attendee's phone number (if provided) |
| Lead Source | Tagged as coming from Client Portal |
| Notes | Meeting details including date, time, and booking link used |
Viewing Synced Leads
After a meeting is booked:
- Open Close CRM and navigate to your leads list.
- Look for recently created leads tagged with the Client Portal source.
- The lead will contain the attendee's contact information and meeting context.
You can then manage the lead through your normal Close CRM workflow -- assigning it to a team member, adding it to a pipeline, or scheduling follow-up activities.
Since Client Portal creates the lead automatically, you can use Close's built-in pipeline and status features to track what happens after the meeting -- whether it converts to a placement search, goes dormant, or moves through your sales process.
Frequently Asked Questions
Does every meeting create a Close lead?
Yes, every meeting booked through a Client Portal booking link with the integration enabled will create a lead in Close. If a lead already exists for that email address, the behavior depends on your Close CRM configuration (it may create a duplicate or merge with the existing lead).
Can I disable the integration?
Yes. Contact your account manager to pause or disable the Close CRM integration at any time. Existing leads in Close are not affected.
What if the lead already exists in Close?
The integration creates a new lead for each booking. If you want to avoid duplicates, you can set up deduplication rules within Close CRM itself, or manage merges manually.
