When calls are recorded, Client Portal provides full transcripts and AI-generated summaries that transform raw conversation data into structured, actionable intelligence.
How Transcripts Are Captured
Transcripts are generated from call recordings made during outreach conversations. The process works like this:
- Your dedicated BDR makes an outbound call to an attorney in your market
- The call is recorded automatically
- The recording is transcribed to text
- The transcript is stored alongside the call record in Client Portal
Transcripts are only available for calls that were recorded and had sufficient audio quality. Very short calls (under a minute), missed calls, and voicemail drops typically do not produce transcripts.
AI Summary Format
When a transcript is available, Client Portal's AI engine analyzes the conversation and produces a structured summary. Each AI summary includes:
Key Points
A concise bullet-point summary of the most important topics discussed during the call. This covers:
- What the attorney shared about their current situation
- Any interest or openness they expressed
- Specific topics discussed (practice area, firm culture, career trajectory)
- Any requests or next steps mentioned
Sentiment Assessment
The AI evaluates the overall sentiment and tone of the conversation:
- Positive -- The contact was engaged, friendly, and open
- Neutral -- The contact was polite but noncommittal
- Negative -- The contact was dismissive, guarded, or uninterested
Action Items
Any follow-up actions identified from the conversation:
- Callback requests with preferred timing
- Information to send (firm details, opportunity specifics)
- Introductions to make
- Topics to raise on the next call
Engagement Level
An overall assessment of how engaged the contact was during the conversation. This feeds into the contact's engagement tracking and helps prioritize follow-ups.
How AI-Extracted Signals Appear
When the AI identifies signal-worthy information in a transcript, it automatically extracts structured signals:
- Movement signals -- If the attorney mentioned interest in exploring or actively looking
- Timing clues -- If they referenced a timeline ("after my bonus" or "early next year")
- Motivation indicators -- If they discussed dissatisfaction, ambitions, or specific drivers
- Firm stability mentions -- If they referenced firm health, partner departures, or cultural issues
These extracted signals appear both in the call's AI summary and on the contact's profile under their signal data.
AI-extracted signals are high quality but are treated as suggested until reviewed. They provide a strong starting point that is then verified through the intelligence review process.
Reading the Summary Effectively
Here is how to get the most out of an AI summary:
- Start with the key points -- Get the headline of what happened in 30 seconds
- Check the sentiment -- Understand the overall tone of the interaction
- Review action items -- See if there are specific follow-ups to schedule
- Look at extracted signals -- Identify any new intelligence that changes your understanding of this contact
- Read the full transcript (when needed) -- For important conversations, the full transcript gives you every detail and nuance
When to Read the Full Transcript
The AI summary covers most use cases, but there are times when reading the full transcript is worthwhile:
- The contact is a high-priority target and you want every detail
- The summary mentions something surprising or ambiguous
- You want to understand the exact language the contact used
- You are preparing for a follow-up conversation and want full context
The AI summarization engine continuously improves as it processes more conversations. Summary quality is highest for substantive conversations with clear dialogue.
